Description

Penn State Lehigh Valley is now accepting applications for an Administrative Support Assistant 1 (Receptionist). The ideal candidate would serve as receptionist or first-line liaison to internal and external contacts and provide general office support. Greet customers/visitors, provide directions or information, solve routine issues and/or refer as appropriate. Direct, review, screen and process telephone communications and mail. Be a critical link in the communication process with Security, IT, and Maintenance. Communicate routine and general information to staff, customers, and/or public about standard services, processes, and procedures using prescribed or established guidelines. Schedule and maintain calendar of appointments, meetings and travel itineraries; schedule classrooms, conference rooms and campus vehicles. Maintain work unit files and databases, do routine updates to web pages. Compose written communication and proofread documents for grammar, spelling, punctuation, and basic formatting. Assist with development, design and production of publications. Assist with travel arrangements, make reservations and process reimbursements. Receive, process, and ensure confidentiality of sensitive information and materials. Maintain inventory of office equipment and supplies, order/purchase office supplies, arrange for equipment maintenance, process work orders for repairs. Maintain and update mailing lists; organize and implement mass mailings. Review documents and ensure proper format; prepare, process, update, and compile routine documents, records, and reports. Prepare correspondence, reports, and other documents. Open, sort, and distribute mail. Copy, collate, staple, and distribute materials. May assist with arranging special events and student related functions. The working hours of this position are Monday - Thursday 1:00 p.m. - 9:45 p.m. and Saturdays 7:30 a.m. - 4:00 p.m. Must be proficient in Microsoft Office and Excel. Must be willing and able to learn various University systems. Looking for a highly dependable team-player who is able to manage multiple tasks in a fast-paced environment. Typically requires a High School diploma or higher, or an equivalent combination of education and experience. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
