The Earth and Environmental Systems Institute (EESI) at Penn State has an immediate opening for an Administrative Support Assistant to provide administrative support to faculty and staff. Responsibilities include, but are not limited to, answering phones, greeting/referring/assisting visitors, customers or others; coordinating travel arrangements, making reservations, and processing reimbursements via ERS; scheduling and maintaining calendar of appointments, meetings and travel itineraries, and scheduling classrooms or conference rooms; maintaining inventory and ordering/purchasing office supplies; processing work orders for facilities repairs/needs; arranging meetings, coordinating special events, conferences and workshops; compiling and organizing information to develop agendas, meeting materials, and reports; designing and maintaining web pages; developing, designing and producing publications in accordance with established University policies/regulations; creating and maintaining listservs; assisting in collecting and organizing materials for grant/proposal preparation; and providing general office support for the EESI director as well as for various Centers within EESI. Knowledge of and experience with Penn State’s financial systems (IBIS, ERS) and Dropbox, along with the ability to work independently, are desired. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs.
