Responsible for leading and managing all departmental operations, including Finance, Research, Human Resources, Facilities, Academic Programs and Information Technology. Manage and oversee the administering of the department general, restricted, miscellaneous, endowments and gift fund budgets. Prepare annual budgets and budget projections, including resource allocation, processing, recording, plan changes, promotions, and annual salary increase recommendations. Must maintain up-to-date knowledge on University policies and procedures. Audit all expenditures to contracts, grants and general funds. Perform statistical reporting, financial analyses, and financial planning. Oversee endowment spending, the scholarship and awards programs, visa applications, and permanent residency issues. Initiate and prepare offer letters/contracts for new faculty, staff, instructors and grad lecturers. Prepare and process related forms including affirmative action records. Track faculty release time. Assist with industrial and development activities. Determine office equipment and space needs. Serve as liaison between faculty, staff, students and Department Head. Coordinate all personnel actions for the department. Interview, hire, supervise, evaluate and train staff. Prepare and coordinate paperwork required by Global Programs. Act on behalf of Department Head in their absence regarding administrative actions and budgetary issues and advise on a variety of operational, human resources and financial issues. Typically requires an Associate's degree or higher plus five years of related experience, or an equivalent combination of education and experience. Bachelor's degree preferred. Professional representation required with excellent verbal and written communication skills, high level of attention to detail and organization, the flexibility to handle multiple tasks concurrently, and have a genuine appreciation in working with diverse audiences. Thorough knowledge of University policies and procedures relating to financial and human resources areas required. Experience with IBIS, FIT, iTWO, Adobe PDF and Microsoft Office, especially Access and Excel is strongly preferred. Excellent communication and interpersonal skills, ability to handle multiple priorities, and attention to detail needed. Demonstrated writing ability highly desirable.
