Penn State Extension in Pike County seeks to hire an Administrative Support Assistant. The Administrative Assistant will work closely with the Extension Business Operations Manager, Client Relationship Manager, Extension Educators and other Administrative Support Assistants to help ensure the smooth and efficient daily operation of the Pike County Extension office; assist with county Extension program and events coordination; help coordinate office communications; and cross-train with other members of the administrative support team as needed. Maintains and manages multiple data bases; serves as purchasing agent for office supplies and publications; assists in preparing and administering county budget, financial, statistical and monthly reports; receives and distributes electronic mail; pays bills, receipts and bank deposits. Will compile, store and retrieve management and financial data using computer. Functions will include: management of office financial accounts, preparing documents and reports, using office technology, compiling records, scheduling meetings, and organizing and maintaining information. Maintain a professional appearance, represents Penn State University and Penn State Extension in a professional manner, and exercises sound professional judgment in carrying out duties assigned by the Business Operations Manager and Extension Educators. The Administrative Assistant must have the ability to work as part of the Extension team as well as to work independently and have the ability to follow procedures as determined by Penn State Extension. Candidates must have excellent communication, phone skills, organizational, and interpersonal skills; be attentive to detail; have the ability to handle multiple priorities/deadlines; and be able to exercise discretion in handling sensitive and confidential information. Must be proficient with QuickBooks, Excel, Word, Outlook, PowerPoint, Publisher, use of internet, file formats, document retrieval, sending and receiving emails. Previous experience with Extension and Penn State financial systems such as IBIS is ERS is preferred. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. The position is located in the Penn State Extension Pike County office, 514 Broad Street, Milford PA. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding. This is a 93.75% full-time equivalency (FTE) job. This individual will work 37.5 hours/week, Monday through Friday. Some occasional evening/weekend work for events/meetings may require a flexible workday schedule. Full Penn State benefits included.
