Description

The College of Nursing located at the Penn State Milton S. Hershey Medical Center is seeking an outstanding individual to serve as an Administrative Support Assistant for Undergraduate Programs. This would include administrative support to the Assistant Dean for Undergraduate Programs at the Commonwealth Campuses, the Hershey Nursing Campus Coordinator, the Hershey undergraduate program faculty and relevant committees as needed or assigned. This may also include providing backup to the Graduate Programs staff support when needed. Responsibilities include but are not limited to: Providing front desk support for a busy academic office which may include answering calls, scheduling appointments and assisting visitors; Administrative and faculty support may include making conference registrations and travel arrangements as well as expense reconciliation; assisting faculty with course preparations, maintaining class lists and advising information, and ordering course books; supporting committees by scheduling meetings, collecting and making available supporting documents, arranging technology requirements and taking minutes; assist with planning and support of various events as needed such as orientations, presentations and meetings which may include videoconferencing set-up, program material preparation, food arrangements and monitoring RSVPs; assist students with orientation, badging, housing, course scheduling and other requirements for the Medical Center as needed; Program support may include scheduling class and conference rooms, creating, maintaining and updating spreadsheets for various purposes such as providing data for reports, agencies and accrediting bodies, etc., maintaining student academic records and files, coordinating student compliance information; Experience with grant proposal submission and reporting as well implementation support helpful; other general office duties as needed or assigned. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Excellent interpersonal and organizational skills and attention to detail required. Must be proactive, enjoy working with a variety of people, and handle multi-tasking well since this position will require the ability to think and work independently as well as successfully prioritize and complete assignments in a timely manner. Knowledge of Microsoft Office Suite, Adobe, and LionPATH preferred. Experience with student records, BOX, Employee Reimbursement System (ERS) and knowledge of University student policies strongly preferred. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
