Description

The individual in this position will function as a member of the administrative support assistant team providing administrative support for multiple Assistant Directors of Programs (ADPs). Specific responsibilities include: Monitor deadlines and related activities for multiple Assistant Directors of Programs (ADPs). Serve as a liaison between ADPs and various internal and external stakeholders. Collaborate with others within the department, administrative offices of the college, university, and county extension offices. Respond to a variety of internal and external inquiries on behalf of the ADPs regarding departmental administrative policies and procedures. Compose and edit correspondence, reports, and meeting minutes. Maintain confidentiality of various correspondence, files, and sensitive issues. Manage calendars and arrange travel; evaluate and determine priority of requests for the ADPs. Handle items not requiring the ADPs attention. Manage e-mail listservs, directories and databases. Coordinate other projects and processes as assigned by the ADPs. Provide logistical support for webinars and meetings. Coordinate activities and schedules for special meetings and events under the direction of the ADPs. Collect data and maintain various reports. Assists with the management of budgets under the direction of the ADPs. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Working knowledge of university accounting systems and ERS is highly desirable. Position requires excellent written and verbal communication skills, organizational skills, interpersonal skills, and ability to multi-task. Individual must promote a culture that is conducive to effective relationships among diverse team members. Successful candidate must be proficient in the use of computer software to include all components of Microsoft Office, Filemaker Pro, Adobe Illustrator, and Adobe Acrobat Professional. Position typically works with minimal supervision, confers with Administrative Support Coordinator on difficult or unusual matters.
