The Materials Characterization Laboratory (MCL), a fast paced, and rapidly expanding shared user facility within the Materials Research Institute (MRI) seeks a highly qualified and energetic candidate to fill an administrative support coordinator position. The primary role is to provide administrative support to the MCL director, lab staff, and the broader MCL user community. Each year MCL supports >1000 researchers from >40 PSU departments, and >100 external organizations. This position requires exceptional organizational, communication (written and verbal), and customer service skills. Responsibilities include: basic office duties, scheduling meetings, maintaining a large number of calendars, organizing and planning workshops, arranging visitor itineraries, making travel arrangements, processing ERS reports for travel and for group meal reimbursements, ordering supplies, being proficient in Word, Excel, and PowerPoint, assembling meeting packets, entering data, supporting steering committees, providing information and referring inquiries for facility users, supervising part-time administrative staff, coordinating MCL business functions, and other duties as required. Additionally, this position is responsible for coordinating ~ 8-10 technical workshops each year. These involve working with technical staff to create agendas, managing registration, monitoring expenses, and coordinating with external vendors. This position will also coordinate other unique MRI/MCL events such as: Millennium Café (coordinate vendor service, billing, and ERS reporting each week) and other annual events such as the PPG Pitch Competition, MRI Safety Olympics, and other priority events. This job will be filled at a level commensurate with the successful candidate's competencies, education, and experience. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
