Administrative Support Assistant
The School of International Affairs is currently searching for an Administrative Support Assistant to provide administrative support to the Admission’s Office and other areas of the School. This position is responsible for a variety of administrative duties and is the primary point of contact for visitors and callers. This position will be responsible for various types of event planning for the School, including but not limited to, working with vendors, interacting with guests to the School, collecting and tracking data/RSVPs, scheduling space, and other logistics. Other responsibilities include answering email and phone inquiries, maintaining calendars, scheduling/canceling appointments, maintaining various documents and databases, processing expense reports and reimbursements, arranging travel, and other duties as assigned. In addition to administrative/clerical responsibilities, the Administrative Support Assistant will also play a key role in admissions processing. The position will track application completion, prepares applications for review, responsible for archiving and record keeping of admissions information, maintains student records, prepares letters, admissions mailings, operates in GRADS, maintains data integrity via customer relationship management (CRM) systems and transcription from a variety of materials. The successful candidate must have initiative, a strong attention to detail, excellent written and oral communication skills, the ability to multitask and handle multiple projects simultaneously, ability to prioritize and problem-solve effectively, a team oriented personality while still being able to work well independently, and the ability to maintain confidentiality. Previous admissions and event planning experience preferred. Proficiency in Microsoft Office programs, e.g. Word, Excel, and PowerPoint is essential. Knowledge of GRADS, ERS, and University policies and procedures is strongly preferred. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs.
