The Eberly College of Science Office of Science Diversity Initiatives is seeking an Administrative Support Assistant. The Administrative Support Assistant will report the Assistant Dean for Science Diversity Initiatives. Responsibilities will include: provide general administrative support, including maintaining calendars and scheduling meetings. Work effectively with other offices in the college and across campus in support of activities of the office. Manage and reconcile budgets for the offices. Process appointments and payroll for wage payroll and work-study students. Collect and review data. Create and distribute reports regarding the Eberly College of Science Diversity Strategic Plan Initiatives. Organize and administer programs and activities that support the recruitment, retention, mentoring and professional development of underrepresented students in Science and all students in the First Year in Science and Engineering (FISE) House. Handle inquiries from parents, prospective students and current students. Serve as “editor” for a few office communications and newsletters. Maintain the website for the Office of Science Diversity Initiatives. Flexibility and willingness to embrace new opportunities and challenges will be important. The selected applicant must have a demonstrated commitment to diversity and be able to work independently as well as in a team environment. Essential skills: excellent working knowledge of University business systems (IBIS, ISIS) and Data Warehouse; exceptional phone and customer service skills; excellent interpersonal, organizational and written and oral communication skills; ability to multitask and coordinate several projects simultaneously, prioritize appropriately and monitor deadlines. Proficiency in MS Office including Word and Excel; desktop publishing and web software preferred. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
