Penn State Extension in Lackawanna County seeks to hire an Administrative Support Assistant. The Administrative Assistant will work closely with the Extension Business Operations Manager, Client Relationship Manager, Extension Educators and other Administrative Support Assistants to help ensure the smooth and efficient daily operation of the Lackawanna County Extension office; assist with county Extension program and events coordination; provide customer relationship support; help coordinate office communications; and cross-train with other members of the administrative support team as needed. Maintains and manages multiple data bases; serves as purchasing agent for office supplies and publications; maintains office equipment; assists in preparing and administering county budget, financial, statistical and monthly reports; receives and distributes electronic mail; pays bills, receipts and bank deposits. Will compile, store and retrieve management and financial data using computer. Functions will include: management of office financial accounts, answering phones, greeting, referring, and assisting visitors, clients, staff or others, preparing documents and reports, using office technology, compiling records, scheduling meetings, and organizing and maintaining information. Professionalism: Maintain a professional appearance, represents Penn State and Penn State Extension in a professional manner, and exercises sound professional judgment in carrying out duties assigned by the Business Operations Manager and Extension Educators. The Administrative Assistant must have the ability to work as part of the Extension team as well as to work independently and have the ability to follow procedures as determined by Penn State Extension. Candidates must have excellent communication, phone skills, organizational, and interpersonal skills; be attentive to detail; have the ability to handle multiple priorities/deadlines; and be able to exercise discretion in handling sensitive and confidential information. Must be proficient with QuickBooks, Excel, Word, Outlook, PowerPoint, Publisher, use of internet, file formats, document retrieval, sending and receiving emails. Candidates without a high school diploma will not be considered. The position is located in the Penn State Extension Lackawanna County office, Lackawanna County Administration Building, 200 Adams Ave., Lower Level in Scranton, PA. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding. This is an 87.5% full-time equivalency (FTE) job. This individual will work 35 hours/week, Monday through Friday. Some occasional evening/weekend work for events/meetings may require a flexible workday schedule. Full Penn State benefits included.
