Penn State Campus Recreation is seeking qualified applicants to manage the administrative and operational activities of the department. This position will help to refine, maintain and implement processes and procedures to improve the efficiency and improve quality of processes; provide administrative and analytical support to the Department Head, including managing all calendar duties for the Senior Director, ensuring all deadlines are met; maintain confidential files and access to confidential information; provide logistics for meetings; prepare reports, PowerPoint presentations, charts, and other material for distribution; liaison with Student Affairs HR and OHR-Shared Services to manage all aspects of job searches for professional and technical service staff to include coordinating on campus interviews and required travel, salary offers, new hire paperwork, background checks, etc.; advise Department Head and staff in dealing with personnel and performance management issues ensuring adherence to University policy; work with Senior Leadership team to coordinate staff development seminars on topics including, but not limited to, University policy and procedures, risk management, student development, professional communication, and customer service; manage department-specific orientation and separation process checklists for career staff; proxy for the department head on a variety of budgetary and personnel forms/documents; Gather data and provide information on various annual reports; work with hiring managers to identify student hiring needs and timelines; assist with the student hiring process, including the request to post positions and approval of wage appointments; may assist with the screening of resumes, with interviews and the hiring process of selected student employees; Responsible for checking documents for completeness, accuracy and proper processing; supervise other administrative support staff and student employees; manages operational needs of the Campus Recreation Student Advisory Council; ensures compliance with University administrative policies and procedures. Campus Recreation is a department within Student Affairs that provides fitness, wellness, and recreational programs to the campus community through the operation and administration of the new expanded and renovated 200,000 sf Intramural Building, the McCoy Natatorium, the 700-acre Stone Valley Outdoor Recreation Area, a Tennis Center including six clay courts and four indoor courts, the White Building, Adventure Recreation, Aquatics, Club Sports, Fitness and Wellness Programs, and Intramural Sports. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. Experience with LionPATH, IBIS, FIT and ERS is desired. Excellent verbal and written communication skills are required. Advanced organizational and coordination skills, excellent problem solving skills with an eye for detail, a team-oriented attitude, the ability to manage multiple priorities and to work independently on complex assignments while exhibiting a high degree of professionalism, discretion, and independent judgement are necessary for this position. Knowledge of University policies and procedures relating to financial, academic and human resources areas necessary. Candidate must be able to act independently and as a member of a Senior Leadership team and be able to handle sensitive Human Resource issues with absolute confidentiality.
