Description

The Penn State Alumni Association seeks an Alumni Events Coordinator. Reporting to the Associate Director of Alumni Events, this individual will work independently or collaboratively with the Assistant Directors to plan and manage events that are supported by the Engagement Unit. The Alumni Event Coordinator will supervise and coordinate all aspects of events that are held at the Hintz Family Alumni Center. In addition to the Hintz Family Alumni Center events, this position will supervise and coordinate alumni programs and events such as receptions, dinners, networking events, executive and council meetings, pep rallies, dedications, reunions, tours, musical performances and other events and/or duties as assigned. Responsibilities include developing timelines, adhering to budgets, overseeing contract approvals, processing invoice payments, collaborating with other units or staff in planning or implementation, recruiting and managing volunteer committees, disseminating information, supervising onsite set-up and changes, and troubleshooting. The Alumni Events Coordinator will also research, prepare and edit informational materials to be used in promotions and scripts, compile data collected from event evaluations, conduct post-event audits, and produce summary reports. Typically requires a Bachelor's degree plus two years of work related experience. Prior logistical planning experience to include attendee registration, food and beverage, audiovisual, room set ups and post-evaluations is recommended. Previous experience with Word, Excel, Cvent, LotusNotes or other event database management tools is highly desirable. Weekend and evening work as well as some travel required. Attention to detail is imperative as well as excellent communication skills. The successful candidate must possess exemplary interpersonal skills and demonstrate a genuine appreciation in working with diverse audiences. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
