The primary purpose of this position is to act as the Administrative Support Assistant to the Director of International Student and Scholar Advising as well as to the Associate Director. The primary duties include routine administrative duties and general financial/budget responsibilities. The individual in this position handles routine administrative duties such as establishing and maintaining office files and activity logs, receiving and processing confidential information and materials, maintaining inventory of office equipment and supplies and placing orders; managing calendars and scheduling meetings as well as taking minutes; and preparing correspondence and other routine duties as assigned. Financial and budget responsibilities include maintaining and/or monitoring budgets and preparing budget reports, reconciling purchasing card charges for assigned cardholders or accounts, coordinating travel arrangements, preparing itineraries, preparing and submitting travel expense documents, scheduling and assisting with grant-in-aid meetings and finalizing grant decisions, awarding grants and scholarships, maintaining and monitoring balances as well as other duties as required by Global Programs. The successful candidate will be highly organized with attention to detail and excellent communication skills. The individual must have the ability to handle multiple tasks and work independently while observing deadlines and maintaining a high level of professionalism. Requires proficiency in MS Word and Excel and experience with other MS products (Access, PowerPoint, Publisher). Experience with the Penn State financial systems/processes such as IBIS, ERS, eBuy+, eSteward, and LabMan as well as the student system LionPATH is preferred. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
