Description

The Palmer Museum of Art seeks an individual to serve as the administrative assistant to the director and to manage the day-to-day operations and administrative activity of the business office. This position primarily provides key support to the director, including managing the director’s calendar, coordinating meetings, planning travel, reconciling expenses, drafting correspondence, and assisting with special projects. As the office manager, this individual establishes central office priorities, insures adherence to University policies, works closely with the financial assistant, coordinator for membership, and coordinator for marketing and communications, assists with grant writing and reports, and maintains office files and archives. Other responsibilities include assisting with gifts and endowments, serving as a liaison with granting agencies, reviewing contracts and agreements, serving as the museum’s in-house human resource representative, and planning special programs. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. This position requires extensive knowledge of University policies, procedures, and systems, including (but not limited to) ISIS, IBIS, ERS, eSteward, eDDS, and WorkLion, as well as an extensive knowledge of budget, human resources, and office management, and a working understanding of contract and grant administration. Proficiency is also required in standard computer applications and programs, e.g., Microsoft Office suite (Word, Excel, PowerPoint, etc.), Adobe Creative Cloud, email, and file management (currently FileMaker Pro). Knowledge of art and art history is preferred.
