This highly visible job within the Dean's Office of the College of Education requires an outgoing individual who displays a high level of professionalism, and maintains confidentiality in dealing with sensitive information. This position serves as the primary point of contact for the college, thus the ideal candidate will display outstanding interpersonal skills. Reporting directly to the Executive Assistant to the Dean, you will be responsible for greeting colleagues and visitors in person, on the phone and over email, and referring as appropriate. You will work in concert with the Executive Assistant to maintain everyday office operations, including (but not limited to) receiving/opening/sorting/logging mail, assisting with package shipping and delivery, coordinating records retention and shredding needs, and maintaining supply inventory. You will compose written communication, and proofread documents for grammar, spelling, punctuation, and basic formatting, as well as, make basic informational updates to several pages on the College’s website. This position is also responsible for assisting colleagues with securing space for a variety of meetings and events, by serving as the reservations coordinator for 2 conference rooms. This position will work closely with the Executive Assistant on tasks such as managing the Dean’s calendar, coordinating the Dean's travel arrangements, making reservations, and processing expenses and reimbursements. Other duties may include assisting with the implementation of the College's Promotion & Tenure, and Sabbatical Leave processes, creating search itineraries, and maintaining personnel files. Additionally, you will provide basic support for the College’s HR team, assisting with duties such as scheduling appointments, greeting visitors, and uploading documents. This position acts as the College’s Parking Chair, serving as the liaison to the University Parking Office, and responsible for the assigning of parking for College faculty and staff based on established College and University parking policy. You will assist faculty and staff with parking questions, and changes to parking permit information. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Knowledge of Microsoft Word, Excel and Outlook is required. Experience with IBIS and ERS is preferred.
