The Penn State Alumni Association seeks an Assistant Director of Alumni Events. This individual will work independently or collaboratively to plan and manage events supported by the Engagement Unit such as reunions, Homecoming, presidential receptions, alumni tailgates, alumni networking events, educational and recognition events. Responsibilities include developing and adhering to timelines and budgets, participate in department strategic planning, overseeing contract approvals, collaborating with other units or staff in planning or implementation, recruiting and managing volunteer committees, disseminating information, supervising onsite set-up and changes, and troubleshooting. Prior logistical planning experience to include attendee registration, venue search, contract negotiations, food & beverage, audiovisual, room set ups, speaker management and housing blocks is required. The Assistant Director will also research, prepare and edit informational materials to be used in promotions and scripts, compile data collected from event evaluations, conduct post-event audits, and produce summary reports. This position may coordinate events held at the Hintz Family Alumni Center. Weekend and evening work as well as overnight is travel required. Attention to detail is imperative as well as excellent communication skills. Previous experience with Word, Excel, LotusNotes, Cvent or other event database management tools is highly desirable. Must be able to coordinate, direct and supervise the activities of volunteers or work teams. The successful candidate must possess exemplary interpersonal skills, demonstrate a genuine appreciation in working with diverse audiences and the ability to lift 30 lbs. with or without accommodation. Typically requires a Bachelor's degree plus four years of work related experience. CMP, CMM or CSEP designations encouraged or in process of working towards certification.
